Ad Fed Executive Secretary job description 

Position Information:

  • This is an independent contract position 

  • Limited schedule of work but flexible relative to a “seasonal” workload revolving around awards and special events. 

  • Become familiar with the by-laws of the organization 

  • Act as a liaison with District 6 AAF keeping the board of directors updated on events and activities. 

  • Maintain corporate records of the organization 

  • Communicate with the Board of Directors as appropriate. The President will be the main point of contact. 

  • Attend and oversee monthly board meetings and activity providing follow-up as needed 

  • Attend member meetings and events as needed, i.e. Ad Honors, The Pitch, Silver Medal/Scholarship luncheon, or other major events. Lunch/meal will be covered by the organization when in attendance 

  • Assist in the organization and execution of annual events including Ad Honors, Silver Medal Award, Scholarship Awards 

  • Coordinate data for Ad Honors awards 

  • See to the timely filing of tax records and related details 

  • Prepare documents for annual audit 

  • Work with the Treasurer for the timely payment of outstanding invoices 

  • Assist in the management of correspondence between board and membership when necessary 

  • Proof website and all printed materials before their release 

  • Work out a timeline of activities for various VP positions 

  • Knowledge of Google Docs, Slack, and Microsoft programs 

  • Submit monthly accounting of time for payment approval 

  • Compensation $20/hour with a cap of $4000 annually (within fiscal year)
